Using ‘Manage My Schedule’ tools:

Clicking on this link allows you to manage appointments in a variety of ways. You can “View/Edit Appointments,” check on “Appointment Activity”, “Create a Custom Appointment", manage your "Business Hours", "Manage Calendar" or make any other "Calendar Exceptions".

  • To access “View/Edit My Appointments” click on one of the [Day], [Week], [Month] or [Year] links. Views will be based upon the currently selected day. To view appointment details, click on the date of an appointment in the table below and your appointment will be listed in the space under the calendar.
  • To view appointment summary's click on the tab labeled "Appointment Activity" on the top of the page. From this page you can select one of the, [Day], [Week], [Month] or [Year] links to view . To view the details for an appointment, click on its Appointment Tracking Number or Description.
  • You can use the 'Manage My Schedule' feature to manage appointments you take by phone in your shop through “Create Custom Appointment.” This allows you to add an appointment to the same calendar that you’ll view to check the appointments you receive through ProCarCare. To create a custom appointment, click on any available day shown on the calendar. A yellow “X” indicates that there are no appointments available on that day. Then click on the “Morning” or “Afternoon” subheads and write the scheduled service, such as ‘oil and filter change,’ into the “One Line Description Of Your Service” box. Below that is a box labeled “Notes:” In this space you can enter the client’s name and make/model/year of the vehicle. Once this is completed select the "Schedule Appointment" button.
  • Business Hours – This section of your calendar allows you to change or modify your listed business hours. To make a change, simply select the appropriate day listed and then use the drop down boxes to change the open and close times. When you are through, click on the “Update” button to submit your changes. You will then see the same page redisplayed with the “Day” indicated, with the new opening time and close time. You also have the option of checking the “Delete” button by selecting the day you wish to remove. If you do this, the times will automatically reset to the default setting in the program. Once you are satisfied with the changes, click on the “Update” button to submit your changes.
  • Manage Calandar- This section allows you to change or configure an available timeslot on any given day. To do this, click on the day of the week you wish to change. Then enter the maximum number of Appointments accepted for that particular day, or check "Unlimited Appointments" if there are no limits. Enter the lead time in days, this indicates to the customer when they should schedule an appointment for you shop. When you are satisfied with the changes, click on the “Update” button. You will be returned to the "Manage Calendar" page with the changes applied.
  • Calendar Exceptions – This section gives you the ability to make a one-time change to your service hours. For example, if you are normally open on Saturday, but for a particular Saturday you wish to be closed, the “Calendar Exceptions” portion of the program will allow you to do this. Once that exception has passed, the calendar will return to your standard default settings. To make an exception, click on the date you want to make the exception for, then enter a description in either the Morning or Afternoon field, and click on the “Add Exceptions” button. You can remove an exception by selecting the day and clicking the Delete button next to the exception you wish to delete.
